Cancellations
We understand that things can change and that cancellations may be necessary. This is how we treat cancellations.
- Ad-hoc and journey consultations – Notice of cancellation should be made at least 48 hours before the appointment. If you do cancel at least 48 hours before your appointment there will be no charge. We are mindful that symptoms can fluctuate and may hinder your ability to benefit from your consultation. We always ask for the reason for your cancellation and aim to be flexible and understanding. Cancellations within 48 hours period are payable pending circumstances.
- Open workshops – Bookings for open workshops made on Eventbrite follow the Eventbrite process for cancellations. The process for open workshops is that cancellations made up to 28 days prior to the workshop date will be refunded in full, including the deposit. For cancellations made up to 2 weeks prior to the workshop date, we will provide a partial refund, retaining the deposit. For cancellations made within the 2 weeks period ahead of the workshop date, we give a 50% refund. For cancellations made 48 hours before or on the day of the workshop no refund is given, except in exceptional circumstances. Please notify us by email if you need to cancel.
- Bespoke workshops – Please notify us by email that you need to cancel. For cancellations made up to 28 days prior to the workshop date, we provide a full refund, including the deposit. For cancellations made up to 2 weeks prior to the workshop date, we provide a partial refund, retaining the deposit. For cancellations made within the 2 weeks period ahead of the workshop date, we give a 50% refund. Non-attendance
Ad- Hoc and journey consultations – We will treat non-attendance as a short notice cancellation. See above for details.
Workshops – The Helpful Clinic, including all First Aid for Feelings services, is not responsible for non-attendance and non-attendance will not affect the workshop fee. We are unable to refund individual places in the workshop.

Ad-hoc and journey consultations – If we cancel a consultation, we will not charge you, whatever the notice of cancellation.
Workshops – If we cancel the workshop in advance or on the day, we will provide a full refund, including the deposit.
Venues
Ad-hoc and journey consultations – It is the client’s responsibility to ensure they are in the best possible location to benefit from the consultation. We recommend a safe, quiet and private location with a strong Wi-Fi connection or phone signal. Using a hands-free headset will ensure quality and privacy and will protect against the physical fatigue associated with holding up a telephone handset for the duration of the consultation. Examples of inappropriate locations would be in any public place or whilst driving. To ensure they gain the most from each consultation, patients and clients should also ensure they allow sufficient time to prepare before, and reflect after, a consultation.
Open workshops – The Helpful Clinic and the First Aid for Feelings team are responsible for all arrangements and costs relating to Eventbrite and Zoom, which are the platforms, respectively, we use for the booking and delivery of open workshops. In the unlikely event of cancellation, The Helpful Clinic retains this responsibility.
Bespoke workshops – Unless we agree otherwise beforehand, the organiser is responsible for all arrangements relating to the venue including liability and indemnity insurance (as required). The organiser is responsible for all costs relating to the venue. In the unlikely event of cancellation by either party, the organiser retains this responsibility.
Insight Timer meditation course – The Insight Timer platform provides The First Aid for Feelings ten-day mediation course and we, therefore, abide by their terms and conditions. You can read their terms and conditions here.
Special requirements and accessibility needs
In all cases, we aim to accommodate special requirements and accessibility needs regarding participants individually (or as a group when dealing with the bespoke workshops). Please let us know if there are specific concerns, needs or topics you would like to be included or excluded ahead of consultations or workshops.

First Aid for Feelings services are not intended as medical, clinical or therapeutic support. Students and participants should take professional advice if deemed necessary. If in doubt please contact us to discuss any concerns.
